Manageing Users in Listing Monster

Invite your team to Listing Monster, choose the right role for each person, and edit, disable or reset the password for any user.

Overview

Use this article to invite people to your Listing Monster account, choose the right role for each one, and check which invites are still pending. You'll need this whenever someone new joins your business, such as a new lister or location.

What you'll do:

  1. Open User Management

  2. Choose the right role for each user

  3. Invite a new user

  4. Check and manage your pending invites

  5. Edit, disable or reset a user's password


Before you start

This guide is for your Listing Monster account admin, the person with the Organisation Admin role. Only the account admin manages users, so they're the person who invites new people and chooses their roles. Organisation Admin can do everything in your Listing Monster account.

Before you invite someone, have their name and email address ready.


Open User Management

User Management is the Listing Monster page where you see everyone who has access to your account and invite new people.

  1. In the left-hand menu, click Settings.

  2. Under Settings, click Users.

The User Management page opens on the Users tab. The Users tab lists everyone with access to your Listing Monster account. It shows each person's Email, whether their account is Enabled, and their Roles.


Choose the right role for each user

A role controls what a user can see and do in Listing Monster. Each role is made up of permission sets, which are groups of permissions for a particular area, such as items, sourcing or orders. You choose a role when you invite someone, so it's worth deciding which one fits before you start.

Which roles can I give users in Listing Monster?

Listing Monster has three roles to choose from when you invite a user:

  • Store User: includes the Sourcing Editor permission set. This role suits people who only need to work on sourcing.

  • User: includes the Item Manager, Sourcing Manager, Inventory Manager, Order Manager, Report Viewer and Inventory Workflow Manager permission sets.

  • Organisation Admin: can do everything in Listing Monster. This role includes the Admin permission set, plus Item Manager, Sourcing Manager, Inventory Manager, Order Manager, Report Manager, Inventory Workflow Manager and every other permission set.

Can I give a user more than one role?

Yes, you can give a Listing Monster user more than one role. However, each role covers everything in the role below it. User covers everything a Store User can do, and Organisation Admin covers everything a User can do. So you only need to choose the highest role the person needs.

Where can I see the permission sets in each role?

The permission sets in each Listing Monster role are listed on the User Roles tab.

  1. Go to Settings > Users.

  2. Click the User Roles tab.


Invite a new user

Inviting a user gives a new person their own login to your Listing Monster account, with the role you choose.

  1. Go to Settings > Users.

  2. Click Invite User.

  3. In the Name field, enter the person's name. For example, enter Fulham for a shop in Fulham.

  4. In the Email Address field, enter the email address the person will use to log in.

  5. Click the Roles dropdown.

  6. Choose Store User, User or Organisation Admin. You can choose more than one role, but each role already covers the one below it, so one role is usually enough.

  7. Click Invite User.

If you change your mind before sending the invite, click Cancel to close the Invite User window without inviting anyone.


Check and manage your pending invites

The User Invites tab in User Management shows everyone you've invited to Listing Monster who hasn't accepted their invite yet, with the role you gave each one. Use it to check who still needs to sign up.

  1. Go to Settings > Users.

  2. Click the User Invites tab.

When does an invited user move to the Users tab?

An invited user moves from the User Invites tab to the Users tab once they accept the invite email in their inbox and create their Listing Monster account. If someone is still on the User Invites tab, they haven't accepted their invite yet.

If you have no pending invites, the User Invites tab shows No Rows To Show.

How do I edit, resend or delete a pending invite?

You can manage a pending Listing Monster invite from the Actions column on the User Invites tab. Each pending invite has three icons:

  • Pencil icon: edit the invite's name, email address or role.

  • Paper plane icon: resend the invite email.

  • Bin icon: delete the invite.

To manage a pending invite:

  1. Go to Settings > Users.

  2. Click the User Invites tab.

  3. Find the invite you want to change.

  4. In the Actions column, click the pencil icon, paper plane icon or bin icon.


Edit, disable or reset a user's password

You manage existing Listing Monster users from the Actions column on the Users tab. Each user's row has three icons:

  • Pencil icon: edit the user's name or permissions.

  • Eye icon: disable or re-enable the user.

  • Key icon: send the user a password reset.

How do I change a user's name or permissions?

You can change a Listing Monster user's name or permissions with the pencil icon on the Users tab.

  1. Go to Settings > Users.

  2. On the Users tab, find the user you want to change.

  3. In the Actions column, click the pencil icon. A pop-up opens with the same Name, Email Address and Roles fields you used to invite the user.

  4. Update the Name field or the Roles dropdown.

  5. Save your changes.

How do I disable or re-enable a user?

You can disable a Listing Monster user with the eye icon on the Users tab. Disabling is useful when someone no longer needs access to your account. The eye icon works like an on/off switch, so you can re-enable the same user later.

  1. Go to Settings > Users.

  2. On the Users tab, find the user you want to disable.

  3. In the Actions column, click the eye icon.

To re-enable a disabled user, click the eye icon on their row again.

How do I send a user a password reset?

You can send a Listing Monster user a password reset with the key icon on the Users tab. This helps if someone has forgotten their password.

  1. Go to Settings > Users.

  2. On the Users tab, find the user who needs a new password.

  3. In the Actions column, click the key icon.

A green Invite sent message appears in the bottom-left corner of the screen to confirm the password reset has been sent.


Expected result

✅ Your invited user appears on the User Invites tab with the role you chose, and Listing Monster sends them an invite email. Once they accept the invite in their inbox and create their account, they move to the Users tab. There, their role is shown in the Roles column.


💡 Tips and best practice

  • Give each person the role with only the access they need. For example, Store User is a good fit for a shop that only sources items, while Organisation Admin should go only to people who need full control.

  • Use a clear name in the Name field, such as a person's full name or a shop location like Fulham, so you can tell your users apart at a glance.

  • Save time by choosing a single role. Adding Store User alongside User doesn't give anyone extra access, because User already covers it.

  • Check the User Invites tab now and then to see who hasn't accepted their invite yet. If someone is still waiting there, ask them to check their spam or junk folder, or click the paper plane icon to resend their invite.

  • Disable users rather than leaving old logins active when someone stops working with you. You can always click the eye icon again to re-enable them.
