Overview
Use this article to understand what each item status and column means, filter your Items table, and save the views you use most, and download a full report of your listings.

Understand your item statuses
Every item in Listing Monster has a status, shown a bit like a traffic light, so you can see at a glance where it is in the listing process.
QC (quality control) — the item still needs to be checked and approved before it's pushed live.
Active — the item is live on its marketplace.
Scheduled — the item is set to go live at a future date and time.
Sold — the item has sold.
Ended/Unsold — the listing period has ended without the item selling.
Export failed — the item failed to be pushed live to its marketplace.
This is how you keep track of where your items are, and at what stage of the process they're at.
Read your Items table
Your Items table shows the following for every item, so you can find what you need at a glance:
A picture of the item.
The item's title.
Any additional information attached to the item.
The item's status (see "understand your item statuses" above for what each one means).
The location or shop the item came from, if you sell from more than one.
The marketplace the item is listed on, and that marketplace's own status for the item.
The date the item was created.
Who created the item.
Filter and save custom views
Once you know what you're looking for, you can filter your Items table down to just those items, and save that filter as a view you can come back to whenever you need it.

Filter your Items table
Open Filters.
Select the column you want to look at — for example, Status > QC.
Add an extra filter layer on top if you want to narrow things down further, such as by location or by who created the listing.
For example, to see all QC listings created by a specific lister, you'd filter by status QC, then add a second filter layer for created by and choose that lister.
Save a filtered view for later
If there's a filtered view you'll want to come back to regularly, save it so you don't have to rebuild it every time.
From the Items dropdown menu, scroll to the bottom and click Create View.
Choose who can see the view:
User — only you can see and use this view.
Organisation — anyone with a login to your Listing Monster account can see and use this view.
Give the view a name — for example, Billy's QC Items.
Click Save.
Once saved, you'll find the view listed under my item views. Click it to load that filtered view instantly, without having to reapply the filters. You can create as many views as you like, personal or shared with your organisation.
Download all your items
If you need to work with your listings outside Listing Monster - for reporting, or to review stock, for example - you can download a report of everything in your account.

Next to the Add Item button, click the three dots icon.
Click Download all.
This gives you a report of all your current Listing Monster items, ready to use outside Listing Monster for internal reporting or other follow-up work.
Download a filtered or saved view
If you only want to download the items in your current filtered or saved view, follow the same steps from within that view. The downloaded report will only include the items displayed in the selected view.
Delete an item
Only delete an item if it's completely necessary. It's better to keep as much product data as possible, so treat deleting as a last resort rather than a first option.

If your item is live, you'll need to end its merchandising strategy before deleting it -Listing Monster won't let you delete a live item until you do.
Go to your Items table.
Tick the checkbox next to the item (or items) you want to delete.
In the bottom right of the page, click Delete.
Expected result
✅ You can now filter your Items table to find exactly what you need, save your regular searches as custom views, download a full report of your items, and delete items when necessary. Your saved views and filters are ready to reuse the next time you check your Items table.
💡 Tips and best practice
Name your saved views clearly, like Sold by Ollie, so your team can tell what each one shows without opening it.
Use Organisation views for filters your whole team relies on, and Users views for anything only you need.
Add filter layers one at a time — for example, status first, then created by — to narrow down to exactly what you're looking for.
Download your full items report whenever you need to work with your listings outside Listing Monster, for example for internal reporting or to review unsold stock.
Only delete an item if you really need to — it's useful to hold on to as much product data as possible, so treat deleting as a last resort.
⚠️ Troubleshooting / FAQs
Why does one of my items show "Export failed"?
Export failed means Listing Monster tried to push that item live to its marketplace, and the export didn't go through.
Can I edit or delete a saved view once I've created it?
Yes — click Manage views to edit or delete any saved view.
Can two people have views with the same name?
Yes. Listing Monster doesn't stop you naming a view the same as someone else's, so it's worth giving each view a clear, descriptive name so your team can tell them apart at a glance.
Can I download just my filtered view, instead of every item?
Yes. If you only want to download the items in your current filtered or saved view, follow the same steps from within that view. The downloaded report will only include the items displayed in the selected view.
