Managing your charity’s inventory in Listing Monster involves these steps:
Print labels and barcodes (optional)
Add Items to Inventory
You can add items to your inventory in two ways:
Convert a Sourcing item to an Inventory item (if you are using Sourcing Monster)
Convert a Sourcing item to an Inventory item
If you are using Sourcing Monster to value and appraise donated items, you can convert a sourcing item into an inventory item:
Navigate to the Sourcing tab in the left-hand menu
Click on a sourcing item (which had been allocated to ecommerce)
Click the Create Inventory button
Enter any required data in the form
Click Create Inventory
You will then be taken to the new Inventory Item page.
Add items to Inventory directly
If you are not using Sourcing Monster, add items directly to your inventory:
Click the (+) button at the top right of your screen
Click Add Inventory
Fill out the required fields in the form
Click Create Inventory
You will then be taken to the new Inventory Item page.
Once you have been taken to the Inventory Item page. You will be able to see the unique ID (or SKU) for the inventory item at the top left of the page (see screenshot). You can then affix the ID to the item by either:
Handwriting a label with the the ID
Print labels and barcodes (optional)
You can easily print labels for inventory items. These labels will include item name, ID/SKU and barcode.
You can print labels for single items or in bulk:
Single item:
Go to the inventory table
Open the item you want a label for
Click the Print icon
A print job will be automatically generated
Multiple items in bulk:
Go to the inventory table
Use filters/search to find the items
Select items using the checkboxes (or use the "select all" checkbox top left)
Click the Print button at the bottom right
A bulk print job will be automatically generated
Update status throughout the item journey
Now that items are added to our inventory system, we can update and track their status throughout their journey.
To update item status:
Find items on the inventory table by filtering, searching, or scanning barcodes
Update the status:
For one item: open the item page and click the pencil icon next to Status
For multiple items: select items in the table using the checkboxes, then click Batch Edit
💡 Tip: Save your most commonly used table filters as Custom Views, which you can access quickly from the Views dropdown (as shown in screenshot below).
Add location, images and data to an Inventory item
You can add warehouse locations, images, and other data to inventory items at any stage in your warehouse process.
Steps to add data to an inventory item:
Find the item in the Inventory table (by filtering, searching or scanning)
Open the item page
Add or edit data:
Location: Click Relocate Batch
Images: Open the Images tab, then enter camera mode or upload existing image files
Other data: Hover over any data field and click the pencil icon
Create listings from inventory items
As a final step, we can create a full listing out of an inventory item.
We can utilise the data and images already attached to the inventory item for our listing, as well as add additional images and information if needed.
To create a listing out of an inventory item, follow these steps:
Find the item in the Inventory Table (by filtering, searching, or scanning)
Click Create Item
Complete the listing form (existing images and data are copied automatically)
Click Save
💡 Tip: You don’t need to wait for each draft to load. Repeat steps 1–4 for all the items you want to list, then review and quality-check all drafts in bulk afterwards. Please see the How to Use Listing Monster guide for tips on optimal listing process.
